I have more than Twelve years working experience as Receptionist, Clerk and Administrative Assistant. I have worked with many INGOs (UNHCR ,PTCL, ARC International, Save the Children and Mercy Corps International) on different positions.
• Manage incoming and outgoing calls.
• Managed and up-to-date phone Extension log record.
• Facilitating information desk.
• Daily checking of Reception area cleanness.
• Use of Scanner, Telephone exchange and Fax machine and keeping record.
• Receives visitors, guides them and inform the concerned staff member.
• before leaving office changing telephone exchange on night mode and next day in the morning changing it again on day mode firstly.
• Daily maintaining registers for all kind of incoming and outgoing mail and fax and keep record.
• Daily collect receipts of TCS for record and handover all receipts of TCS to Admin for payment of bill at end of the month.
• Update field Offices list of Save the Children work in Pakistan and inform to supervisor.
• Arrange meeting for (PDB) Provincial Director Balochistan with other organizations. And remind them before meeting time.
• Issuing Stationary to staff and maintain Stock register and soft record.
• Monthly Physical counting of stationary Items and maintain Stock Register /soft record and sent balance information to supervisor through email. And raised (PR) Purchase Request for required stationary items for purchase.
• Up to date pigeon box.
• Up-to- date contact list of all SC Balochistan staff, telephone Extension list, notice board, NGO list, hotel list, and hospitals list, Emergency important telephone Number list etc.
• Making TAR (Travel Authorization Request form) for Provincial Director Balochistan (PDB) and send to country Office ISB for Approval of TAR and ticket / lodging. And also inform to driver for pick and drop from air port.
• Maintain TAR (Travel Authorization Request form) record in respective files and provided on request and also maintain soft record of TARs and other reception related work.
• To keep a better relationship with service provided, Travel agents, hotels, Restaurants, water supply stationary, General stores, and Bakers etc by processing their payment on time.
• Performed any duty assigned by supervisor.
Type different Memos as directed by Provisional coordinator and Admin Officer
Maintain stationary record and issue to staff on request and purchase on need base.
Assist Admin officer managing Human Resource and maintaining personnel files of all local staff.
Provide water on monthly base to all BHUs and need base for office and guest house and keep record.
Purchase on monthly base kitchen supply for office and guest house. And keep record.
Purchase and provide Battery cell to guard/ watchman on monthly base and keep record.
Purchase and Provide Phone card to all BHU (Basic health unite) and keep record.
Perform other duties and task as required by Admin Officer, Provisional coordinator, Manager
Assist Admin officer or Manager in all administrative matters like procurement, general administration, booking of air tickets, arrangements of events like seminars, meeting etc. trainings.
